In order to strengthen our team within the real estate department, we are looking for a proactive and meticulous person with a strong sense of organization and priorities. You will be responsible for managing the real estate department: handling calls, mail, and emails, data entry into management software, and providing support to different entities of the group. The position also includes the management and monitoring of leases, management contracts, concierge services, etc., management of disputes, communication with suppliers and authorities, as well as the follow-up of incidents and claims. You will also contribute to the financial activities related to the position: monitoring debtors and recovery procedures, in close collaboration with the accounting team. Your mission: Management Ensure telephone reception and processing of emails. • Receive, sort, and distribute mail. • Enter and update data and events in management tools. • Draft, prepare, and follow documents and correspondence. Create, establish, and monitor leases, management contracts, and concierge services, including amendments, and ensure document management: monitoring and controlling files of suppliers and partners. • Follow up on claims and participate in managing disputes. Financial management • Establish and control invoices. • Process and monitor supplier invoices. • Ensure the follow-up of receipts (rents and advance charges). • Participate in recovery procedures, in collaboration with stakeholders Profile: • A minimum of 5 years experience in a similar position in real estate • Excellent sense of organization and priorities • Proficiency in standard tools. • Knowledge of German is a plus.
