Within this Department, the Project Management Unit is one of the services whose main mission is to carry out studies and works related to the construction and renovation of existing buildings in connection with the institution's plan for all the HUG sites. Project Assistant for the Project Management Unit - 100%Within the Project Management Unit of the Real Estate Division, we are looking for a project assistant to support our teams in the Project Management and Mastery of Works services. Your main tasks consist of managing by writing and following up on meeting minutes, proofreading, correcting, and formatting technical documents, as well as organizing internal events such as team activities and internal meetings. You are also responsible for updating the sectors' intranet, managing procedural documents and reporting, creating, tracking and archiving documents, invoices, and orders. You contribute to the development of tools and work methodologies while participating in project follow-ups. Your role also includes actively supporting projects, notably data entry and receipt of orders in the Qualiac / CEGID ERP system, monitoring and following up on requests to ensure progress, as well as pre-filling and tracking incoming and outgoing documents. You verify and pre-approve invoices from companies and assist in the preparation of final accounts, budget monitoring, and project hours, and manage companies working on-site, particularly for requests for badges, keys, or fire permits. You are responsible for organizing, archiving, and managing the projects of the sectors, producing reports, as well as organizing work and site meetings and disseminating documents to the relevant partners. You ensure the smooth communication and dissemination of information related to the projects via the intranet and internal channels, and you manage orders for supplies or personal protective equipment.We are looking for a customer-oriented and solution-focused person who identifies with the values of HUG and embodies them fully in their work. You hold a degree in X or an equivalent qualification in the field of construction and have a minimum of three years of professional experience in a similar role. Knowledge of the medical environment and/or the Geneva public sector is an asset. Your experience has led you to develop a sense of discretion and confidentiality as well as a great ability to manage priorities. You have very good command of common tools such as Word, Excel, PowerPoint, and Outlook but also collaboration tools (MS Teams, SharePoint, OneDrive) and visual management software (MindManager, MS Whiteboard). You have an excellent command of the French language, both spoken and written. You are strict, organized, and have good judgment; you know how to work in a team and develop harmonious relationships with your colleagues by demonstrating flexibility, adaptability, and responsiveness. You are capable of managing a significant volume of work and setting additional priorities. You have a regular schedule but you know how to make yourself available outside of regular hours, including nights, weekends, and public holidays for on-call service according to a rotation and interventions as needed.
