You are responsible for assisting Project Managers in coordinating and monitoring project reporting, controlling and tracking the proper execution of various legal acts and deadlines, as well as providing operational support to the Project Manager.



Project Managers' Assistant


Our client is an independent real estate asset management firm, located in the Lausanne region, specialising in innovative and sustainable collective investments, and active in the development, management and enhancement of real estate projects in French-speaking Switzerland.

Responsibilities

As a Project Manager's Assistant, you will have the following responsibilities:

  • You ensure client reception, management of incoming mail, general correspondence, telephone calls, as well as filing and archiving documents.
  • You contribute to the implementation of guidelines to structure project monitoring (progress status, performance, reporting, photo management).
  • You participate in the preparation of decision files, including market analysis, content writing and monitoring of addresses and associated documents.
  • You take part in preparing presentations for various bodies.
  • You organise and monitor calls for tenders, including sending and receiving documents, as well as scheduling hearings.
  • You support the management of sales signatures, in coordination with notaries, and participate in key handovers.
  • You contribute to writing newsletters and annual reports.
  • You also provide support to the Executive Assistant by taking minutes in their absence, as well as assisting the Real Estate Director with diary management, meeting organisation and monitoring priority files.

Candidate Profile

As a Project Managers' Assistant, you ideally have the following profile:

  • You hold a Federal VET Diploma (CFC) as a Commercial Employee or an equivalent qualification.
  • You have excellent command of French, and a good knowledge of German is a valuable asset.
  • You have initial successful experience in project assistance, ideally within an architecture, construction office or real estate environment.
  • Comfortable with IT tools and project management software, you know how to structure information, manage several files simultaneously and ensure document traceability.
  • Recognised for your rigour, organisational skills and ability to manage priorities, you enjoy working in a versatile role, providing direct support to Project Managers and management.
