A Human Resources & Executive Assistant at 100%

Temporary mission of 4 months (highly renewable)

Job Description

Human Resources

  • Ensure the administrative management of personnel files throughout the entire employee lifecycle.
  • Prepare employment contracts, amendments and HR documents.
  • Manage employee onboarding and offboarding formalities.
  • Ensure administrative follow-up of absences, accidents, illnesses and relations with insurance companies.
  • Update personnel data in various HR systems.
  • Participate in the monitoring of training, evaluations and HR deadlines.
  • Respond to employee requests and support them in their administrative procedures.
  • Develop and monitor various dashboards, statistics and HR indicators.
  • Participate in the continuous improvement of HR procedures and processes.

Executive Assistance & Governance

  • Provide secretarial support to the General Management and follow up on current affairs.
  • Draft and format correspondence, minutes and administrative documents.
  • Prepare meetings, convocations and documents intended for governance bodies.
  • Organise and coordinate the annual calendar of meetings and sessions.
  • Write minutes of Management and Foundation meetings.
  • Ensure administrative follow-up of decisions and actions implemented.
  • Participate in the organisation of cross-functional projects and the smooth administrative operation of establishments.
  • Work closely with service managers and management teams.

Continuous Improvement

  • Participate in updating internal procedures and the quality system.
  • Contribute to the optimisation of administrative and HR processes.
  • Carry out administrative controls inherent to the role.
  • Participate in various institutional projects as needed.

Profile Sought

Your Profile

  • Commercial, administrative or HR training.
  • Federal diploma as an HR specialist highly appreciated.
  • Proven experience in personnel administrative management, human resources or executive assistance.
  • Excellent writing skills in French.
  • Very good command of IT and office tools.
  • Ease in managing several files and contacts simultaneously.
  • Experience in a nursing home, a health institution, a foundation or a semi-public structure is a real advantage.
