Position combining the role of Executive Assistant to the CIO and Office Manager, providing executive support (diary, committees, travel) as well as managing the daily operations of the office. The role requires organisation, proactivity and the ability to manage multiple priorities in a demanding environment.

Independent Swiss company active in the financial sector, established in the Lausanne region.

Responsibilities

Executive Assistant to the CIO:

  • Proactive and comprehensive management of the CIO’s diary, with strategic prioritisation of issues.
  • Organisation and coordination of governance bodies (Investment Committee, Boards): preparation of agendas, management of invitations and production of materials.
  • Preparation, formatting and proofreading of presentations and documents for high-level stakeholders.
  • Management of communications: sorting emails, drafting letters and following up on actions.
  • Organisation of the CIO’s travel from start to finish (bookings, visas, itineraries, expense reports).
  • Coordination with internal contacts (Heads of Departments) and external parties.
  • Monitoring deadlines, projects and strategic deliverables.
  • Organisation of key events (Investment Days).

Office Management & Administrative Support:

  • Supervision of daily office operations (reception, management of service providers, maintenance).
  • Coordination of general services (cleaning, facility management, suppliers).
  • Management of access, badges and parking spaces.
  • Overall administrative support (calendar management, internal communications, mail handling).
  • Management of supplies and stock monitoring.
  • Participation in onboarding processes (installation, equipment, system access).

Candidate Profile

As an Executive Assistant & Office Manager, you have the following profile:

Experience:

  • Minimum 5 years in a similar role (Executive Assistant / Personal Assistant).
  • Experience in financial services, banking or regulated environment.
  • Exposure to supporting a senior executive (ideally CIO or equivalent).
  • Experience in governance or board/committee support.

Skills:

  • Excellent command of Microsoft 365 (PowerPoint, Word, Outlook, Teams).
  • Very good level of English and French required.
  • Advanced skills in producing professional presentations.
  • Exceptional organisation and priority management.
  • Excellent interpersonal and communication skills.
  • High discretion and sense of confidentiality.
  • Proactivity and ability to anticipate.
  • Ability to work reliably under pressure.
  • Team spirit with autonomy.
