Description

  • Maintain and optimise a dynamic, high-volume calendar with frequent changes. Coordinate internal and external meetings, board sessions, and strategic engagements across multiple time zones.
  • Plan and execute intricate international travel itineraries, including flights, ground transport, visas, accommodations, and contingency planning. Ensure seamless transitions between engagements and proactive resolution of travel disruptions.
  • Prepare daily schedules, briefing packs, and background materials to ensure the CEO is fully informed and prepared for each engagement.
  • Organise and support executive-level meetings, including agenda setting, minute-taking, and follow-up tracking.
  • Draft and review confidential correspondence, presentations, and reports. Act as a gatekeeper and liaison for internal and external communications.
  • Lead or contribute to strategic initiatives and special projects, ensuring timely execution and alignment with business objectives.
  • Build trusted relationships across the organisation and externally to facilitate effective collaboration.
  • Oversee administrative processes within the executive office, including budget tracking and cross-functional coordination.

Profile

We are seeking a highly experienced professional with a proven track record of supporting C-suite executives in a global, fast-moving environment.

  • Degree in Business Administration or equivalent
  • 8+ years of experience supporting C-Level (ideally the CEO) executives in a multinational setting
  • Demonstrated expertise in managing complex travel and scheduling across global regions
  • Exceptional organisational and project management skills
  • High level of discretion, integrity, and emotional intelligence
  • Fluent in English; additional languages are an asset
  • Proficiency in MS Office and digital collaboration tools
  • Proactive, adaptable, and solution-oriented mindset
