We are looking for a Receptionist / Office Services Support to join the team in our Baar office.
SCOPE OF THE ROLE
In this role you will be responsible for managing the office reception and providing ad-hoc support for office tasks, working closely with another team member. You will serve as key point of contact for other office members, supporting day-to-day coordination and communication.
This is a part time role with 18 working hours per week in the office.
YOUR RESPONSIBILITIES
- Primary point of contact for telephone switchboard
- Manage daily mail, courier services, and reception email inbox
- Oversee office maintenance, including cleaning company and other external suppliers or service providers
- Maintain kitchen facilities, including restocking fridges
- Manage meeting room reservations and prepare conference rooms for internal and external meetings, including arranging coffee, beverages, and catering
- Coordinate office and team events
- Serve as primary IT point of contact for employees, coordinating on and off-boarding for employees, setting up IT equipment
- Responsible for managing company mobile devices and associated contracts
- Order office supplies, maintain stock level in storage
- Coordinator of company parking and allocations
- Provide support for Management Assistant, including event coordination and administrative errands for Management
YOUR PROFILE
- Relevant experience in a similar role
- Minimum 3 years of experience working in a support function like office manager or receptionist
- Tech-savvy with good knowledge of Microsoft Office
- Excellent organisation and time management skills
- Structured way of working and ability to prioritise
- Collaborative, communicative, team player and a mindset to improve processes
- Ability to handle sensitive information with discretion
- Fluency in German (native speaker level) and English is a must. Any other language is an added benefit. Fluency in Swiss German is highly preferred
- Valid class B driver’s licence
