We are looking for a proactive and highly organized professional to support the Head of Commercial Alliance Management Team, based at our Headquarters in Lausanne, Switzerland, as 

 

### Administrative Assistant - 50%  ###

Contractor Permanent position | Lausanne, Switzerland 

 

**Your Mission: **Serve as the operational pillar for the Head of BD and Global Commercial Alliance Management and team. 

You will ensure total fluidity in their professional daily life, with a specific focus on complex agenda management, congress logistics, and the organization of high-stakes client meetings. 

We require availability for a minimum of 4 hours every working day, with flexibility to structure those hours in the mornings or afternoons. 

 

### Your Responsibilities  ###

* Agenda mastery: proactively manage internal and external appointments, including last minutes adjustments to support prioritization. 

* High-level logistics: take full ownership of travel arrangements (flights, hotels, complex itineraries) and end-to-end coordination for major national and international congresses. 

* Partner interface: coordinate logistics and scheduling for all individual client and commercial partner meetings/events. 

* Communication support: create, format, edit high-quality professional documents and PowerPoint presentations in both English and French. 

* Budget follow-up: support in tracking and ensure alignment with the annual budget on a quarterly basis using a financial ERP. 

### Your profile  ###

* Education & languages: Bachelor-s degree, CFC, or equivalent, with excellent written and verbal communication skills in both English and French. 
* Experience: Minimum of 5 years of relevant and transferable experience, in an international and fast-paced environment 
* Technical expertise: Tech-savvy in Microsoft Office 365 applications (Teams, SharePoint, PowerPoint). 
* Soft skills: 

* Absolute discretion, professionalism, and a high level of confidentiality. 

* Ability and agility to anticipate roadblocks, manage multiple priorities in a fast-paced environment. 

* Team player with strong interpersonal skills and a service-oriented mindset. 

* Proactive stakeholders- engagement and management, with transparent communication.
