We are currently looking for a motivated and collaborative professional Executive Assistant to join our R&D Department based at our Headquarters in Lausanne, Switzerland as
**Executive Assistant**
Are you a curious, proactive, and results-driven professional ready to move beyond traditional administrative tasks? Debiopharm is seeking an exceptional Executive Assistant to be a close partner to our Chief Development Officer (CDO) & Chief Scientific Officer (CSO).
**Your Mission.**
* Proactively manage the CDO-s & CSO-s complex agendas and inbox, preparing draft responses and correspondence as needed. You will also coordinate all aspects of domestic and international travel.
* Organize and support the Departments- Team Meetings, including planning the agenda, coordinating pre-reads, taking detailed minutes, and coordinating action item completion.
* Actively work with administrative assistants across departments to facilitate complex interview schedules, electronic signatures, large team meetings, and external partner meetings.
* Act as the first point of contact, liaising with people outside the department and with external partners, prepare and edit documents, communications, and presentations in French and English.
* Follow-up on financial matters for the departments (budget update and maintenance), monthly & annual reporting & KPIs tracking
* Solve and anticipate proactively problems, prioritizing conflicting needs and following through on projects to successful completion often with tight deadlines.
* Take ownership of specific ad-hoc projects or additional specific tasks

* Bachelor's degree (or equivalent) and over five years of experience supporting executive-level staff in a demanding, fast-paced international office environment.
* Proven track record in assisting Head of functions in a fast pace environment - Executive Assistant level
* Experience in a Pharmaceutical Company is preferred
* Strong organizational skills detail and deadline-oriented, able to identify/communicate conflicts in scheduling and priorities
* Ability to establish and maintain the highest level of professionalism, confidentiality and trust, and a strong team player with high customer focus
* Technology-savvy in all Microsoft Office applications (including Outlook Calendar, Sharepoint, AI tools)
* Excellent written and verbal communication skills in English and French
* Curious, you like supporting ad-hoc projects and play a role in internal initiatives
