Legal Administrative Assistant

For a long term position, we are looking for an experienced Legal Administrative Assistant, who will have the following responsibilities:

  • Perform classic secretarial duties such as maintaining a calendar; preparing digital and hard-copy document files; producing invoices and expense reports; organizing conference calls and meetings; drafting correspondence; and creating, organizing, and archiving documents in our file-management system.
  • Keep track of procedural deadlines; maintaining accurate records of submissions and other legal documents exchanged in the proceedings.
  • Prepare hearing files; word-process and format documents at an advanced level (using styles, adding tables of contents, etc.); and file electronic and hard copy submissions.

What we look for:

  • Experience in a similar role in a law firm.
  • Conscientious, proactive, organized, and flexible.
  • Excellent MS Office skills.
  • Proficiency with or willingness to learn to use various applications, including videoconferencing tools, exhibit management software, and e-filing platforms.
  • Excellent level of French and English.
  • Knowledge of Italian, Spanish, or German would be an asset.
  • Swiss work permit.
