JOB PURPOSE
To provide administrative support to the Human Resources Department.
KEY TASKS AND RESPONSIBILITIES
HR Reception
Serve as the first point of contact for the HR Department, welcoming visitors, answering calls, and responding to general staff queries.
Open, sort, and distribute daily HR mail.
Maintain the Emergency Kit (including evacuation and lockdown lists or maintain Orah up-to-date re. staff - this is for the future - currently this is a work in progress) to ensure it is always up-to-date.
Issue ID badges and coordinate requests for electronic door access.
Ensure office supplies and stationery are adequately stocked.
Administrative Support
Schedule and coordinate HR meetings and events, including the annual part-time teaching staff meetings and updates to part-time teaching staff percentage allocations.
Maintain and update the HR calendar.
Prepare, edit, and distribute a range of HR documents such as employment letters, contracts, attestations, work certificates, and work permit applications/renewals.
Coordinate the annual criminal background check process (via DGEJ and DGEO).
Manage the staff language lessons process.
Assist with internal HR processes such as performance reviews, probation periods, onboarding and welcoming new staff, ensuring all deadlines are met.
Maintain accurate and up-to-date staff records, reports, and HR system data.
Support with translation of HR documents when needed.
Provide administrative assistance to the Associate Director of HR and support ongoing HR initiatives as required.
OTHER TASKS AND RESPONSIBILITIES
Provide cover or assistance to the Recruitment Specialist as needed.
Support or cover the Senior HR Officer in operational tasks during peak school periods, as requested by the Associate Director of HR.
Handle confidential and personal information with the utmost discretion.
Engage in ongoing professional development and complete required internal training (e.g., RogerHR, Google Drive, iSAMS).
Undertake any other task which may be reasonably required by the Associate Director of HR to assist in the smooth running of the team.
Understand and implement all school policies and procedures, particularly those relating to safeguarding children and young people
Understand the School’s Guiding Principles and uphold the ethos of the School at all times
