We are seeking a Fund Portfolio support professional for 9 months to provide portfolio support to regional and country teams in complex, multi-stakeholder environments. This role supports the smooth delivery of portfolio activities throughout the grant lifecycle and contributes to effective collaboration with internal and external stakeholders.MissionsPortfolio and Stakeholder Support- Provide administrative and logistical support for meetings, workshops, and engagements with internal and external stakeholders, both in person and online.- Support the planning, budgeting, and delivery of regional and portfolio-level events involving diverse participants.- Assist in the preparation and distribution of briefing notes, and training materials.- Support the management of entity records, including reviewing, and processing change requests in line with established procedures.- Ensure partner and stakeholder records are kept accurate and up to date in systems.- Maintain organized digital filing systems to ensure effective information flows across teams.- Provide support for digital tools (shared workspaces and team sites), including setup, maintenance, and user onboarding.- Support document review processes and quality checks.Operational Support- Contribute to planning, progress tracking, reporting, and budget monitoring for assigned portfolios.- Coordinate business travel arrangements for staff and external participants, ensuring compliance with security and internal policies.- Monitor expenditures and execution as per standard procedures to manage access rights to digital tools and channels.- Support administrative processes for suppliers and service providers.- Assist with onboarding activities for new team members.- Foster a supportive team environment and effective teamwork.- Provide support for specific budget oversight activities.Grant Lifecycle Support- Provide administrative and operational support for standard grant management processes, ensuring inputs, and stakeholder contributions are handled in line with agreed deadlines.Requirements- University degree in business administration, public finance, social sciences, or a related field, or equivalent professional training or relevant work experience.- Experience in a portfolio support, administrative, or operational role.- Experience working with digital tools and information systems.- Experience in monitoring processes and managing documentation.- Ability to manage multiple tasks, meet deadlines, and adapt in fast-paced environments.- Experience with basic budget tracking or financial administration skills and attention to detail.- Excellent command of English (written and spoken).- Knowledge of additional regional languages is an asset.Conditions and Benefits- 2 days of home office per week. jid13fc890aen jit0417aen jpiy26aen
