The Department of Medicine is composed of 14 medical and care units (12 medical services, 1 Investigation and Short Treatment Unit (UITB) and the Blood Transfusion Centre (CTS)) with the particularity of including technical platforms (such as interventional cardiology and digestive and pulmonary endoscopy), several treatment and care platforms (biological treatments, photopheresis and medical care), 1 hospital and outpatient dialysis centre, and 3 rehabilitation and reconditioning programmes. Furthermore, the medical and care activity is strongly dedicated to inpatients (9 care units, 160 beds) with consultants and internal consultants benefiting the patients managed by other medical departments.



Secretaries for the Department of Medicine - 60% to 100%


You will be involved in short to medium-term replacement assignments within various medical secretariats. This position is aimed at individuals who appreciate diverse work environments, a fast pace, and the ability to quickly adapt to new professional contexts. The main challenge of this role lies in the variety of activities and the limited duration of assignments, which requires excellent learning, analytical, and listening skills.

Thanks to your interpersonal skills, you ensure the reception, information, and orientation of patients presenting to the service, while efficiently managing incoming telephone calls. You actively participate in organising consultations by managing doctors’ electronic schedules and preparing patient files. After consultations, you independently, quickly, and accurately type medical reports and, when necessary, schedule additional medical examinations.

At the same time, you handle all administrative activities related to the functioning of the secretariat. This notably includes following up on patient files, managing mail and email, updating schedules, and, where applicable, organising congresses or medical staff events. You demonstrate proactivity in carrying out logistical tasks inherent to secretariat life, such as orders, fee notes, and archiving.

Within the teams, you develop working relationships based on collaboration and trust with other medical secretaries. You contribute to ensuring service continuity during absences and accept working in shared offices. More broadly, your sense of service and agility allow you to use your versatility for the benefit of the institution and to work in different services according to needs.

Possessing good organisational skills and effective priority management, you are recognised for your autonomy, rigour, and precision in executing assigned tasks. You also know how to face unforeseen events calmly and manage stressful situations constructively.


Qualifications

You hold a Federal VET Diploma as a commercial employee and a medical secretary diploma, or any equivalent training deemed appropriate.

You hold the advanced ECDL certificate for Word, Excel, PowerPoint, Outlook and/or Web and have very good knowledge of the software used at the Geneva University Hospitals (DPA, DPI, OPALE, GRECO, Winscribe and Laboratory Request).

You have several years of experience in a medical secretariat position, ideally in a similar role.

You have perfect command of French, both spoken and written, and proven writing skills. Medical terminology is easily understandable to you. Knowledge of English is an asset.
