The École polytechnique fédérale de Lausanne (EPFL) is seeking a dynamic and reliable administrative assistant to support a professor and their laboratory. The candidate ensures the smooth running of administrative processes and acts as the central interface with EPFL services (HR, finance, purchasing).
- Management of HR processes: hiring, contract management, visa decisions, onboarding of new employees and liaison with HR.
- Financial administration of the laboratory: budget monitoring, invoice verification, cost centre management and financial reporting.
- Processing of expense claims, credit card statements and travel expenses in accordance with EPFL guidelines.
- Organisation and processing of orders (materials, equipment, services), including logistics.
- Management and archiving of documents (electronic and physical).
- Organisation of meetings, seminars, visits and travel (logistics, accommodation, visas).
- Correspondence and diary management in French, English and German; minute-taking.
- Completed commercial training (CFC commercial employee or equivalent); the federal diploma of executive assistant is an advantage.
- Several years of professional experience as an administrative assistant, ideally in an academic or research environment; experience at EPFL is desirable.
- Excellent organisational skills, initiative, attention to detail and discretion.
- Very good knowledge of French, German and English (written and spoken).
- Perfect command of MS Office (notably Word, Excel), ERP systems and EPFL tools.
- Ability to interact within multicultural teams at all levels.
