MISSION DESCRIPTION
Import-export related tasks
  • The import-export assistant will be responsible for the following functions:
  • Administrative management: Prepare and file import/export dossiers, verify documents (invoices, certificates, e-dec…).
  • Document preparation: Draft customs documents, regulatory forms.
  • Order tracking: Ensure liaison between foreign suppliers, carriers and clients.
  • Logistics organisation: Prepare packages, coordinate transport and optimise costs and deadlines.
  • Application of customs procedures: Comply with customs and trade regulations.
  • Reporting and internal communication: Monitor activity and coordinate between departments.

Administration related tasks
  • The assistant will occasionally have a multi-tasking role for the following tasks:
  • Reception and information: Welcoming, directing and offering drinks to visitors, handling calls and managing emails.
  • Various orders (supplies, drinks…).
  • Contact and follow-up with various organisations (Property management…) and maintenance services (electricity…).
  • Booking flights and hotels for management.
  • Document and mail management: Data entry, filing, archiving and forwarding of administrative documents.
  • Support to internal departments: Assistance to other departments (HR, accounting, management, operations…), follow-up of files and updating databases.
  • Planning and organisation: Managing diaries, scheduling appointments and organising and planning meetings.
  • Handling requests and administrative follow-up: Drafting letters, updating files and managing office supplies.
  • Effective communication with other staff members, as well as with clients and visitors.

EXPECTED PROFILE
Required skills:
  • Rigour in task execution, organisational skills and priority management.
  • Good interpersonal and writing skills, teamwork, taste for versatility.
  • Reliability, discretion and respect for confidentiality of processed information.
  • Adaptability and capacity for development (this position is expected to evolve)
  • Good command of office tools (Word, Excel, email).
  • Professional proficiency in French and English; knowledge of another language is an asset

Education and experience:
  • Previous experience in a similar position would be appreciated
  • Knowledge of the GIT/Winner programme would be a plus
