The main mission of the Conference and Events position is to organize scientific conferences (scientific conference cycle for a sustainable energy transition in the built environment). The incumbent may also be called upon to organize or participate in other smaller events. Due to the nature of the schedule, additional tasks will be defined to support events and visits at the Smart Living Lab. This part-time position (50%) requires a certain degree of flexibility, especially with full-time availability during the conference week and the week preceding it (September).Main tasks and responsibilities:1. Establishing and overseeing the organization of the biannual scientific conference in agreement with the conference steering committee. Developing a timeline of activities, tasks, and responsibilities as project manager for the scientific and editorial committees, as well as with the technical team, graphic designers, and external suppliers and partners. 2. Managing processes, including the selection and use of conference management tools independently, coordinating finances (within budget constraints), including support for sponsor search and event logistics such as external spaces and services.3. Setting up and supervising editorial work in accordance with the publishing house agreement (call for contributions, review processes, linguistic checks, etc.) and the conference program in alignment with the steering committee, possibly considering a hybrid format (remote participants).4. Includes site visits and the social event program X.5. Interacting with on-site participants and, if necessary, remote participants, speakers, various committees, suppliers, sponsors, and supporting the promotion of the conference in close collaboration with the Smart Living Lab's communications manager (website, mailing lists, physical materials, and university-level networks).6.
