The Admissions Team plays a vital role within the school, ensuring prospective families experience a seamless and exceptional admissions process, from their initial enquiry through to their enrolment at the school.
Admissions Officers are integral to the smooth running of the Admissions Team, providing vital administrative support to the office, in addition to working collaboratively with support staff and teaching staff from across the school. This role demands a strong commitment to teamwork and delivering outstanding customer service, ensuring that the needs and priorities of prospective pupils and their families remain central to all decisions. Admissions Officers are expected to exemplify the school’s Guiding Principles and consistently uphold its ethos and values in every aspect of their work.
KEY TASKS AND RESPONSIBILITIES
In collaboration with the other Admissions Officers:
Be present during office hours to take calls, reply to emails, and welcome visitors
Regularly follow up with prospective families to provide updates, answer queries, and maintain strong relationships
Assist with on-campus events such as prospective family visits, and the new student arrival programme
When necessary, conduct tours of the campus for prospective families and other guests
Remain informed about developments, events, and initiatives related to the School and Summer School, ensuring accurate and up-to-date knowledge is maintained to support effective communication with prospective families
Assist with setting up and supervising entrance tests
Ensure that the Admissions Lounge and Offices are clean and tidy at all times
Support the Student Ambassador programme
Manage the Admissions department’s calendar. Liaise with appropriate staff and visitors to arrange appointments and meetings
Ensure accurate parent and student data on our systems. This includes making regular updates as and when changes are notified or discovered by the school, and ensuring consistency of data between the department databases
Organise and prepare files for new pupils, ensure the collection of any missing documents, and draft correspondence related to new pupil enrolments
Assist with correspondence and department reports
Assist with scholarship and financial assistance agreements and related correspondence
Maintain and organise the office electronic filing system
Monitor and maintain the mailing lists for prospective students and parents according to marketing/recruitment plans as appropriate
Offer ideas, proofread, and work collaboratively on the creation of school marketing materials
Prepare mailings of promotional material for educational and recruitment events
Centralise office supply orders and maintain inventory of all publications (prospectuses, application forms, etc)
Support with gathering feedback from prospective family events to improve future admissions initiatives
When necessary, represent the admissions department in meetings with other teams
Be proactive and take on initiatives to improve the admissions experience for prospective families
Make travel and accommodation arrangements as required
Be an active participant in school life
OTHER TASKS AND RESPONSIBILITIES
Understand and implement all school policies and procedures, particularly those relating to safeguarding children and young people
Undertake any other task which may be reasonably requested by the Director of Admissions to assist in the smooth running of the team
Understand the School’s Guiding Principles and uphold the ethos of the School at all times
