The position is attached to the Office of the Director and External Affairs, a transversal department integrated into the General Management. In line with the strategic axes of the HUG, the Office of the Director and External Affairs contributes to strengthening the influence and visibility of the HUG. Its actions aim to coordinate institutional partnerships at the cantonal, regional, national, and international levels, reinforce the position of the HUG within international Geneva, contribute to the HUG philanthropic programme, support the deployment of humanitarian activities, coordinate relations with churches, religious communities, and chaplaincies.
As part of your activities, you work within a team of twelve employees whose missions cover various fields and provide support to the managers. Your tasks consist of supporting the administrative activities of the Vaud – Geneva Association as well as those of the directorate’s secretariat.
You contribute to the administrative and organisational coordination of the directorate in direct support of the managers. In this capacity, you participate in budget preparation, account and payment monitoring, as well as the day-to-day management of the Vaud-Geneva association’s secretariat. Supporting the executive assistant, you ensure the preparation of meetings, the logistical organisation of sessions, the drafting of correspondence and minutes, as well as the follow-up of decisions made. You also provide support for mail management, ordering supplies, and equipment necessary for the smooth running of the directorate. You participate in organising catering services for meetings, visits, or internal events. In parallel, you manage the HRIS data of employees attached to the directorate.
You also assist with tasks related to the "Commission for Humanitarian Affairs and International Cooperation", data entry and donor follow-up within the Customer Relationship Management system. You support the process of drafting agreements as well as the preparation of annual reports related to the directorate’s activities.
Within the framework of the missions of the Office of the Director and External Affairs, you liaise with various internal actors, notably medical departments, as well as with external partners.
Qualifications
You hold a maturity certificate and are in a work-study programme at the Haute Ecole de Gestion, or plan to enrol.
Flexible and versatile, you demonstrate rigour and precision in your activities. Your sense of priorities and initiative allows you to work autonomously.
You appreciate teamwork and know how to develop harmonious relationships with various interlocutors thanks to your diplomacy and interpersonal skills.
You have basic accounting knowledge and good writing skills.
Good knowledge of English and German is an advantage.
