We are actively seeking an Administrative Assistant for our headquarter based in St-Sulpice. The successful candidate is flexible, able to prioritize tasks and is motivated to work in a multi-cultural scale-up environment.

Responsibilities:
Manage office facilities and suppliers: reception, security, cleaning, catering, office maintenance
Order and keep track of office supplies
Act as the point of contact to welcome internal and external visitors
Provide support for visitors travel arrangements
Organize meetings and company events
Book travel arrangements and prepare travel expenses for Top Management
Support the Finance team (PO/invoices follow up)
Collating and filling travel expenses
Maintain contact lists updated as well as documents in our DMS
Various administrative tasks
Parcel/shipping support
Requirements:
10 years’ experience in a similar position
Experience in a multicultural environment a plus
Excellent English and French written and verbal communication skills
Proficiency in MS Office (MS Excel, Word and MS PowerPoint)
Ability to work independently, proactive and problem-solving skills
Attention to detail
Strong organizational skills with the ability to multi-task
Handle confidential information with care
