MAIN PURPOSE OF THE ROLE

Working in close collaboration with the Extracurricular Department, the role involves supporting the planning, organisation, enrolment, delivery, and coordination of all extracurricular activities for both day and boarding students, including private lessons.

 

The position is available from the summer of 2025 with an 80% activity rate.

KEY RESPONSIBILITIES

**Customer Service**

* Providing customer service to parents whose children are enrolled in extracurricular private lessons through emails, phone calls, and front desk enquiries in a timely manner
* Sending daily communications (calls or emails) to teachers for the coordination of activities and private lessons
* Providing help and advice to parents using the Extracurricular programme offer
* Investigating and solving customers- problems
* Keeping accurate records of discussions or correspondence with parents

**Administration**

* Following up on students' enrolment, attendance records, and cancellation processes
* Providing support for the administration of the private lesson programme (lesson planning, client service, registration, processes, etc.)
* Supporting the logistics for delivering activities and private lessons: teacher relations, absences, covers, room reservations
* Ensuring departmental filing is kept updated
* Maintaining the Extracurricular database up to date
* Providing support for the annual and periodical planning of extracurricular activities and implementation of new programmes
* Carrying out other tasks as required

QUALIFICATION AND KNOWLEDGE

A higher education qualification is required, ideally in hospitality, business (CFC), or tourism-related fields; however, other relevant areas of study will also be considered. The candidate must be bilingual in English and French, with additional European languages seen as an asset. Solid experience in administrative or financial roles is expected, along with advanced skills in Microsoft Excel and Word.
