Description
In order to join a leading international organization for a temporary assignment, we are looking for an Administrative Assistant (English/Japanese) with an 80% workload.
Responsibilities
- Provide logistical and administrative support for projects, meetings, seminars, workshops, and events, including managing resources, communicating with participants, preparing materials, arranging travel and accommodations and organizing virtual meetings.
- Assist with administrative tasks related to financial management, performance evaluation, work plans and public relations.
- Process and format documents (such as correspondence, tables, reports and presentations) using appropriate software; proofread, photocopy and distribute documents.
- Enter, retrieve and update information from various sources (e.g., databases, office files) and present it in a standard format.
- Organize and maintain office files and reference systems; prepare files for meetings as needed.
- Sort and route incoming mail and correspondence.
- Answer phone calls, Teams calls and greet visitors; respond to routine requests, schedule appointments and prepare information for the supervisor.
- Handle administrative transactions in financial, travel, procurement and HR systems.
- Perform other related tasks as required.
Profile
- Education : Completed secondary education (mandatory).
- Experience : At least three years of relevant secretarial or administrative experience, working in a team.
- Experience with international organizations or technical assistance programs, an asset.
- Language : Excellent written and spoken English, with a working knowledge of Japanese.
- Ability to draft and edit documents according to standards.
- Attention to detail and accuracy.
- Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint) and able to work with databases and adapt to new software.
- Ability to prioritize tasks, organize work independently, meet deadlines and work well in a team.
- Strong communication and interpersonal skills, able to build effective partnerships in a diverse, multi-cultural environment.
- Ability to follow rules, regulations and procedures.
