To provide essential administrative and organizational support to the Relationship Management Assistants, helping streamline internal processes and ensuring high-quality client service delivery within the Family Office or Wealth Management team.

Relationship Manager Assistant 50%

For our client, a Family Office and also a Wealth Manager, we are currently looking for a Relationship Manager Assistant.

Description





Documentation & Compliance:

  • Assist in gathering and checking KYC/AML documents.

  • Help prepare files for periodic reviews (client due diligence, annual reviews).

  • Support tracking of regulatory deadlines and ensure follow-up on FATCA/CRS or other compliance obligations.



Organization & Coordination:

  • Provide day-to-day administrative assistance to the Family Office team, ensuring smooth coordination and execution of internal processes.

  • Act as a point of contact with external banking institutions for administrative follow-up, document transmission, and account-related coordination.

  • Assist with invoicing and expense tracking, including preparation of payment instructions, reconciliation of invoices, and communication with service providers.

  • Support Relationship Managers and their assistants in routine client operations, such as preparing documentation, following up on transactions, and maintaining client files.

  • Prepare, print, scan, and file client-related documents (KYC, contracts, mandates, correspondence, etc.).

  • Ensure proper physical and electronic archiving in accordance with internal policies and regulatory requirements.

  • Follow up on document signatures and coordinate circulation among internal and external stakeholders (compliance, management, banks).

  • Maintain and update internal trackers, databases, and administrative tools as required.

Profile



Education & Experience:

  • Commercial diploma (CFC or equivalent).

  • Initial experience in an administrative support role within a financial, wealth management, or family office environment.

  • Familiarity with banking or regulatory documentation is a plus.



Skills & Competencies:

  • Excellent organizational skills and strong attention to detail.

  • Absolute discretion and respect for confidentiality.

  • Comfortable using standard office tools (Outlook, Excel, Word, Adobe Acrobat).

  • Ability to manage multiple tasks simultaneously with accuracy.



Languages:

  • Fluent in French

  • Proficient in English (spoken and written).
