IMAD is a pioneering and reference institution in home care in the canton of Geneva. It provides care, support, prevention and health promotion services 7 days a week, 24 hours a day, to more than 18,000 patients of all ages, 25% of whom are under 65 years old.
With its 2,300 expert and committed collaborators, including more than 50 teams deployed throughout the canton, IMAD's mission is to meet the needs of the population and their wish to remain at home autonomously while preserving their quality of life during periods of temporary or prolonged fragility. It also helps to limit the length of hospital stays, facilitate the return home and relieve informal carers.

Receptionist Secretary / Institutional Reception / 100% / Permanent Contract
Your missions and responsibilities
At the reception and front desk level:
- Welcome and courteously and professionally redirect clients, visitors, partners, IMAD collaborators
- Accompany visitors to their appointment location
- Inform and promote IMAD services
- Accurately identify visitors’ and/or other services’ requests and process them
- Provide quality beverage and light catering service to visitors in the reception area and meeting rooms
- Answer telephone calls and handle client requests
- Quickly and professionally distribute calls to the relevant contacts
- Distribute information and brochures from the Geneva health network upon request
- Make available and keep up to date the documentation displays, magazines and brochures, notice boards in the reception area and common areas, including stock management
- Manage, monitor and promote IMAD concierge services
- Keep various distribution and follow-up lists up to date.
At the secretarial level:
- Perform various administrative tasks related to the secretariat
- Participate in meetings and take minutes, prepare correspondence
- Keep filing of procedures, directives and documents related to the proper functioning of the structure up to date
- Establish and monitor attendance statistics
- Receive, sort and distribute incoming mail
- Manage and process email inboxes
- Provide administrative support to the institution’s various services upon management request.
Qualifications
- Commercial employee CFC or equivalent training
- Three years of professional experience in a secretarial, receptionist or similar role
- Experience or training in hospitality and catering is an asset
- Very good writing skills in French
- Very good knowledge of standard Microsoft Office IT tools (Windows, Word, Excel)
- Ability to work methodically, precisely and with anticipation
- Capacity to take initiative
- Ability to handle several tasks simultaneously and work in a team
- Ease in communication and human contact, good interpersonal skills
- Ability to listen, convey information and discern priorities
- Knowledge of English (equivalent to B1) desired
- Very good stress management
- Excellent presentation.
