We support Swiss Philanthropy Foundation in the recruitment of its future Project Administrator as part of its development and strengthening of its teams, for the administration and operational monitoring of several hosted funds and participation in the development of the Foundation.



Project Administrator


Swiss Philanthropy Foundation is an independent public utility hosting foundation based in Geneva. Created in 2006, its mission is to encourage philanthropy through the creation and administration of philanthropic funds: it offers donors, individuals and donor foundations, easy access to philanthropy through a light, agile and economical structure, thus simplifying their administrative procedures and strengthening the impact of their donations.

Swiss Philanthropy Foundation has created 100 hosted funds and distributes on average nearly 40 million per year in Switzerland and worldwide. The Foundation also hosts institutional funds for other foundations as well as collaborations. It is active in philanthropy promotion activities where it develops strong partnerships in the fields of continuing education and culture.

Responsibilities

Administrative and operational management of a portfolio of hosted funds (philanthropists and foundations):

  • Support and coordination of the steering committees of the funds as well as their possible dedicated staff: contact and relationship, preparation and facilitation of meetings, minute-taking, monitoring governance and operational procedures;
  • Administrative management of the entire donation distribution process (grantmaking) in collaboration with the steering committee: analysis (due diligence) of the public utility status of beneficiary organisations, preparation of donation contracts, payments, collection of follow-up reports;
  • Coordination and monitoring, where applicable, of experts or consultants mandated, or staff dedicated to the activity of the hosted fund;
  • Management and monitoring of the treasury of the allocated funds: donor endowments, budgets, commitments, expenses, available balances;
  • Ensure the general monitoring and smooth running of the funds' activities on behalf of the Foundation, in collaboration and dialogue with donors and steering committees.
  • Active development of hosted funds and long-term relationships with donors.
  • Participation in the creation and implementation of new hosted funds: presentation of solutions, participation in discussions, administrative follow-up for the deployment of the fund.
  • Active participation in the development of the foundation and other tasks depending on the Foundation's opportunities, notably the implementation and monitoring of new offers or new tools.
  • Use of digital tools CRM, ERP, Drive (Microsoft suite)

Candidate Profile

  • Higher university education or equivalent.
  • Confirmed professional experience (minimum 5 years) in the administration and operational monitoring of files and processes, including budget management, ideally acquired in an SME or a donor foundation. Specific thematic expertise is not required.
  • Excellent command of French and English, both spoken and written. Knowledge of other languages, notably German, is a major asset.
  • Proven ability to coordinate external persons and facilitate groups.
  • Good interpersonal skills, listening skills and developed spirit of collaboration.
  • Enjoyment of knowledge sharing, collective intelligence and active contribution to common reflections.
  • Strong writing and synthesis skills, as well as clear and convincing oral expression.
  • Ability to manage several files or projects simultaneously, efficiently and calmly.
  • Dynamism, responsiveness and sense of initiative.
  • Comfort with numbers, analytical mind and strong interest in administrative tasks.
  • Methodical, rigorous, precise and organised.
  • Autonomy in work, with a strong sense of responsibility
