The position requires proactivity and the ability to manage multiple priorities in a demanding environment.Executive Assistant CIO & Office Manager 70%Independent Swiss company active in the financial sector, established in the Lausanne region.MissionsExecutive Assistant to the CIO:- Proactive and complete management of the CIO's agenda, with organization of meetings and governance bodies (Investment Committee, Boards): preparation of agendas, meeting management, minutes, and production of presentations.- Formatting of reports and documents for high-level stakeholders.- Correspondence management: sorting emails, drafting letters, and following up on requests.- End-to-end management of the CIO's travel: flights, hotels, visas, itineraries, expense reports.- Coordination with internal contacts (Heads of Departments) and monitoring of deadlines, projects, and deliverables for key events (Investment Days).Office Management & Support:- Supervision of daily office operations (reception, management of office supplies).- Coordination of general services (cleaning, facility management, suppliers).- Management of access, badges, and parking spaces.- Global support (calendar management, internal meetings, mail processing).- Management of supplies and monitoring of onboarding processes (access, systems).ProfileAs an Executive Assistant & Office Manager, you have the following profile:Experience:- Minimum 5 years in a similar position (Executive Assistant / Personal Assistant).- Experience in financial services, banking, or a regulated environment.- Exposure to supporting a senior executive (ideally CIO or equivalent).- Experience in governance or board/committee support.Skills:- Excellent command of Microsoft 365 (PowerPoint, Word, Outlook, Teams).- Very good level of English and French required.- Advanced skills in document production, exceptional organization, and priority management.- Excellent communication skills, discretion, and sense of confidentiality.- Proactivity and ability to work under pressure with reliability.- Team spirit with autonomy.Conditions and BenefitsOur client offers you:- A permanent position in a well-established company.- 5 weeks of vacation for a good work-life balance.- Professional atmosphere and the possibility to actively contribute to the smooth operation and efficiency of daily activities. jid4098527aen jit0625aen jpiy26aen
