For our agency in Lausanne, we are looking for an: Executive Assistant - 80% to 100% Your main missions: Reporting directly to the agency director, you assist him daily and manage all the tasks of the management, as well as key missions for the management team: Organizing meetings, taking minutes and reporting, Drafting letters and memos at the request of directors, Creating presentations on PowerPoint, Managing emails and phone calls for the management, Establishing and updating a database for management offers and PPE calls for tenders, Following up on management and PPE files, Keeping and updating dashboards, Various tasks at the request of the agency: Managing the logistics of the agency in collaboration with headquarters in Geneva, Supervising the maintenance of the premises and the reception and receptionists in place, as well as the back office assistant (3 people), Supervising the mail and logistical aspects related to arrivals and departures at various internal events and project marketing needs: Following up on marketing projects in collaboration with the relevant teams, Ensuring follow-up and support for marketing project managers for certain ad hoc requests, Contributing to the management of marketing campaigns by ensuring good coordination among the various stakeholders. Profile: You benefit from a commercial education or equivalent, ideally complemented by training as an executive assistant, and can justify at least 5 years of experience in a similar position in Switzerland, You have an excellent command of office tools (in a Windows environment: Word, Excel, Outlook) and particularly PowerPoint, Knowledge of Salesforce software would be an asset, You are very proficient in writing and have perfect spelling skills, You have a good level of English, and German is an advantage, You work independently, know how to make decisions, and demonstrate excellent organizational skills and very good priority management, Discretion, versatility, flexibility, and proactivity are also essential qualities for this position.
