The Oncology Department manages, diagnostically and therapeutically, adult patients suffering from cancerous diseases and supports patients and their relatives. The aim is to ensure access to the best anti-cancer treatment, to offer appropriate care and to anticipate the needs of hospitalised patients (bone marrow transplant, cell therapy, immunotherapy, etc.), to strengthen nursing and medical expertise, and to promote research and innovation.
The department comprises 4 services (haematology, oncology, precision oncology and radio-oncology) with around 300 employees involved in both hospital and outpatient activities.
Within the oncology outpatient clinic secretariat, you will hold a position as a specialised medical secretary and actively contribute, in rotation with the team, to coordinating the outpatient care pathway for patients. In close collaboration with oncologists, nursing teams and internal and external partners, you contribute to the smooth running of care and the fluidity of the patient journey.
You ensure the reception, information and orientation of patients and their relatives, as well as admissions and the recording of administrative data according to institutional requirements.
You organise and coordinate simple and complex appointments, including medical consultations, additional examinations (blood tests, radiological or other examinations) as well as oncological treatments. You guarantee rigorous follow-up of medical and nursing schedules, respecting therapeutic constraints and specific requirements related to different pathologies.
You also manage internal/external telephone calls as well as the shared secretariat mailbox.
You ensure typing, correction and formatting of medical reports, as well as their billing. You handle incoming and outgoing mail, its filing and archiving, as well as the digitisation and updating of electronic patient records to ensure completeness before consultations.
With responsiveness, rigour and strong interpersonal skills, you work in a specialised medical environment where listening, discretion and empathy are essential. Your team spirit and collaboration with multidisciplinary teams directly contribute to the quality of care and support for patients throughout their oncology journey.
Qualifications
You hold a Federal VET Diploma as a commercial employee and/or a diploma as a medical secretary, or any equivalent training deemed appropriate.
You have at least two years of successful experience in a similar position within a medical secretariat.
You have perfect command of French, both spoken and written, and proven writing skills. Medical terminology is easily understandable to you.
Knowledge of English is an asset (minimum level B2).
You hold the ECDL Advanced certificate for Word and Base for Excel, Outlook and Web. You possess very good knowledge of the software used at HUG (DPA, DPI, OPALE, GRECO2, Lab Query and Winscribe).
Thanks to your good team spirit, you are able to work in a shared office with several secretaries.
While having a good sense of organisation and priorities, you demonstrate autonomy, rigour and precision in the tasks entrusted to you.
You also have the tools to cope with unforeseen events and easily manage stressful situations. Empathetic, you enjoy human contact and show tact in sensitive situations.
Finally, you demonstrate a strong sense of confidentiality.
