The position is at the Direction of Real Estate (DI), which has the mission to define a strategy for the property portfolio, to develop the coherence of monitoring major projects according to schema X, in collaboration with the main services of the Department of Territory, the Department of Infrastructure, and the Department of Health, to optimize the tracking of surfaces and its future, while ensuring the smooth operation of services. More than 230 professionals carry out their missions daily with a constant focus on standards, with a sense of service and responsibility. As a secretary at the Direction of Real Estate - 90%, you will assist the site manager and their team in managing the procedure, ensuring independently the coordination of a technical file involving several trades, while ensuring a smooth and quality interactions with all stakeholders. You will organize and ensure the daily operation (mail, phone, filing, archiving, logistics, agenda). You will draft, proofread, correct, format, prepare, and organize documents, disseminate them to relevant contacts, and ensure follow-up on decisions. You will follow institutional directives and ensure compliance with internal procedures, and update the procedures as well as the intranet site. As part of your secretary role, you will enter requests into Cegid and Carl, track their progress, follow up if necessary, control and manage orders, receive documents, and prepare invoices for approval. You will participate in meetings and working groups, take notes, write minutes, research necessary information internally or externally for projects, and classify, archive, and document technical files (tables, reports, technical sheets). You will also be responsible for tracking and entering absences in our Vision-RH software (sickness, accident, vacation, etc.), manage expense reports, leave requests, and HR documents related to activities and oversee the management of companies working on site (badges, keys, necessary documents). You will enter and manage essential documents for the smooth operation of the office. You have a vocational certificate (CFC) in commerce or an equivalent qualification. You have 3 to 5 years of experience in a similar position, ideally in a complex environment. You possess excellent writing skills and oral expression in French. You have perfect mastery of office tools with an ECDL Advanced level for Word and Standard for Excel.
