Coordinate & Support Medical Outreach Activities & Organization of Medical Affairs Meetings (e.g.
EU Advisory Boards, Preceptorships)

  • Support the Project management of Medical Outreach Activities
  • Support meeting budget management by monitoring vendor invoice/refund payment
  • Support the organization of the logistics for each meeting (e.g. travel, accommodation , booking, registration, A/V, activities, F&B, team building, meeting rooms)
  • Coordinate contracting processes (e.g. contract platform, suppliers, events organizations, consultants, Health Care Professionals & HCOs) and/or overview responsible vendor
  • Support the implementation and coordination of all the requests emanating of the contracts for each meeting/project
  • Support material developments
  • Coordinate logistic with vendors, managing specific responsibilities on-site and before the meeting (e.g. inspection, welcoming guests, event set-up, communication, venue, travel, accommodation, registration, A/V, F&B, gifts)
  • Interact with internal global/regional teams
  • Ensure follow-up during the Manager absence and handle team mail


BA or equal by experience / optional Project Management Certificate

  • 2+ years’ experience working for a multi-national company in similar position
  • Flexibility, diplomacy, and ability to manage expectations
  • Problem solving and entrepreneurial skills
  • Ability to travel with overnight stays
  • International exposure – working across EU countries
  • Ability to work with multiple projects and in a complex environment
