Assistant to the Director and general support ( %)Start date: April 1st or to be agreedWork location: The Department of Health, Social Affairs and (DSSI) shapes resources in health, social, and general matters. It supports the management in political guidance and encompasses the office's operations, which is the hub of the Department at the operational level as well as the management for which we are looking for a reliable person that the Director can depend on, capable of structuring complex matters and maintaining an overview during busy task periods.Key Responsibilities:- Assist the Director according to their needs- Manage the agenda, organize and coordinate meetings, discussions, and professional commitments- Organize the framework for meetings and events- Organize and coordinate driver services- Handle correspondence and mail tasks in German and French, with demanding and sometimes confidential content- Receive phone calls and visitors on behalf of X, filter requests- Sort the mail, assign and direct them to the relevant departments- Assume administrative tasks and handle matters in a team- Prepare and ensure follow-up for meetings and committees involving the Department as well as DSSI, prepare documents and draft minutes as needed- Ensure digital management of files for important matters- Participate in the management of executive council and Grand Council affairs- Collaborate closely with other members of the office while clearly distributing tasks and ensuring mutual backup- Assume the role of substitute (for commercial apprentices and trainees)Requirements:- Basic commercial education (CFC) or equivalent- Professional experience in a demanding assistant position or ideally within the office, ideally with good knowledge in (MS Office) and interest in digital tools- Experience or interest in professional support for apprentices and trainees, participation in ad hoc cantonal courses or willingness to take them- Ideal proficiency in French, very good knowledge of both official languages (German/French) in writing and orally (level C1/C2).- High bilingualism, reliability, and discretion- Independent work method, ability to work in a team, service-oriented- Enjoy working with young people and supporting individuals in apprenticeshipWe offer:- A pivotal role within the Department touching on matters and policies related to health, social affairs and various tasks and clearly defined responsibilities at both strategic and daily operational levels of the Department- The opportunity, in a substitute capacity, to support and supervise individuals undertaking commercial apprenticeships professionally- A motivated and supportive team within the general office that collaborates and assists one another- Modern employment conditions and opportunities for development- Depending on the situation, the possibility of teleworking when tasks and service priorities allow - presence is required on-site during important meetings and periods necessitating increased presence.Contact:We look forward to meeting you!
