Assistant to the Academic Service for Doctoral Training, Continuing Education and Exchanges (90%)

In a dynamic and constantly evolving context, the EPFL Academic Service is seeking an Assistant to the Head of the Academic Service for Doctoral Training, Continuing Education and Student Exchanges.

Reporting directly to the Head of Service, the assistant manages 3 areas: the Doctoral Office (5 people), the Continuing Education Office (2 people) and the Mobility Office (5 people). The assistant plays a key role in team supervision, maintaining operational excellence, as well as in the application and development of the legal framework.

Main tasks and responsibilities

Management and leadership

  • Supervises and supports the 3 teams, promoting collaboration and continuous improvement.
  • Defines operational objectives and ensures their achievement.
  • Leads cross-functional projects involving multiple stakeholders.
  • Supports teams in organisational, regulatory and technological changes.
  • Encourages buy-in to changes by developing clear communication and a participative approach.

Doctoral Office

  • Oversees administrative processes related to doctoral studies management, including applications, enrolments, study plan management and course registrations, oral exams and public defences, as well as the issuance of diplomas and awards.
  • Works closely with the Doctoral School and doctoral programmes.
  • Ensures proper application of regulations and directives related to doctoral studies.
  • Monitors complex cases and supports the resolution of particular situations in collaboration with the Doctoral School.

Continuing Education Office

  • Oversees administrative processes related to the management of continuing education certificate studies, including applications, enrolments, study plan management, and diploma issuance.
  • Ensures proper application of regulations and directives related to continuing education certificate studies.

Mobility Office

  • Oversees administrative processes related to incoming and outgoing academic mobility of Bachelor and Master students participating in international exchange programmes.
  • Oversees administrative processes related to the reception and monitoring of visiting students and doctoral candidates conducting research projects within EPFL laboratories.
  • Ensures implementation and monitoring of processes, regulations and requirements of the Erasmus+ programme.
  • Manages and monitors the mobility scholarship budget.
  • Represents EPFL within professional networks and expert groups dealing with academic mobility issues.

Digital transformation and continuous improvement

  • Leads digitalisation and automation projects related to doctoral studies, continuing education and mobility processes.
  • Contributes to the development of academic information systems in collaboration with IT services and stakeholders.
  • Identifies opportunities for innovation and optimisation of administrative processes.
Profile
  • Master’s level university education.
  • Proven experience in a complex academic or administrative environment.
  • Demonstrated team management skills.
  • Experience in the "business" management of IT projects and needs analysis.
  • Fluency in English and French (minimum level C1) and good knowledge of German (minimum B2).
  • Organisational skills, rigor and autonomy.
  • Strong public service orientation.
  • Excellent communication and interpersonal skills.
