With nearly 2,500 employees, the Department of Geriatrics has a medical hub centered on the elderly and consists of 6 services spread across 5 sites: Trois-Chêne, Loëx, Bellerive, Beau-Séjour, and Joli-Mont. It takes care of acute cases, particularly through the emergency department of the Trois-Chêne hospital, addressing specific age-related issues, medical concerns, and medicine care for acute cases, notably through the intermediate care of the Trois-Chêne Hospital, acute units including some focused on musculoskeletal, cardiological, neurological, and oncological syndromes, and long-term care units. It also includes a community care service, a liaison unit, and the Memory Center. As an Assistant to the Head of Care and Team Leader, or under the Head of Care of the department, you ensure the smooth operation and activity management. You act as a genuine liaison between the Head of Care and the various services of the department, as well as other departments and management of the institution, supporting the Head of Care in daily and human resource management of their activity (80% of the activity dedicated to the Head of Care), while supervising the secretary teams (20% of the activity is dedicated to the management of the team of secretaries spread across several sites). As an assistant to the Head of Care and team lead of the care team, you manage priorities and provide quick and effective solutions to ensure continuity of activities. In a continuous improvement approach, you identify, analyze, and propose actions aimed at optimizing internal processes and enhancing overall efficiency. You also play a role in bridging communication and facilitate clear dissemination of decisions and priorities. You assist the Head of Care in performing their functions by taking charge of administrative aspects, allowing them to focus on strategic issues. As a trusted partner, you handle sensitive dossiers with loyalty, discretion, and confidentiality. You anticipate needs, identify, and signal major issues or opportunities requiring their attention. You also manage the calendar, organize meetings, and commitments based on their importance. Ultimately, you collect, sort, analyze, and synthesize information necessary for decision-making, relying on an in-depth knowledge of the files. You organize and prepare meetings, including drafting agendas, sending invitations, and writing minutes. You ensure the quality, reliability, and respect of deadlines in processing.In your functions, you may be required to travel regularly to different sites of the department. You lead, animate, and supervise a team composed of several members spread across various sites. You organize and coordinate activities to ensure the continuity and quality of service across all sites. You ensure the maintenance and development of professional skills among your team, promoting skill enhancement and career progression. You handle recruitment as well as their training and daily supervision. Lastly, you guarantee smooth communication and proper functioning of a network of information.You hold at least a vocational diploma in commerce, supplemented by a higher qualification such as a federal certificate in management assistantship and/or further education in management (CAS or an equivalent title). You possess very good knowledge of office tools (ECDL advanced level in Word, Excel, PowerPoint, and standard web requirements) as well as the software currently in use at HUG (DPA, DPI, OPALE, GRECO, Winscribe). You have a successful experience of 5 years or more in a similar position in the medical or healthcare field and are recognized for your rigorous management and keen sense of priorities. In your previous positions, you have handled complex files and have the ability to manage multiple activities simultaneously. You know how to unite and supervise teams, promote an environment of trust and collaboration, and adapt your approach to different interlocutors. Your listening skills and communication abilities allow you to manage various situations professionally while actively contributing to collective performance and ongoing improvement. You have a strong sense of confidentiality. You are fluent in French and have a high-level writing ability. You possess expertise in office and additional tools.
