On behalf of the Leenaards Foundation, a philanthropic public utility foundation based in Lausanne, committed to the common good and living together. Active in the Lake Geneva region, it supports projects in the fields of culture, social affairs, science, and health. It also supports the ecological transition and works for a vibrant democracy.
Within a team of eight collaborators, you will play a central role in the smooth administrative, accounting, and organisational functioning of the structure.
In close collaboration with the Administrative and Financial Manager as well as the Programme Managers, you will actively contribute to the Foundation's operations by assuming the following responsibilities:
Ensure the administrative follow-up of support requests and prepare files for the commissions.
Support the eligibility analysis of projects with regard to the Foundation's mission and values.
Draft minutes, letters, and reports.
Prepare, update, and monitor management dashboards.
Perform accounting entries, ensure the follow-up of supporting documents, and contribute to the preparation of accounting documents.
Participate in budget monitoring in collaboration with the Administrative and Financial Manager.
Coordinate the interventions of external service providers (maintenance, IT, concierge, etc.) and ensure the follow-up of premises as well as the needs related to their proper functioning.
Actively participate in the Foundation's development projects, particularly in terms of digitalisation, implementation of new tools, optimisation of internal processes, and change management, in collaboration with the Administrative and Financial Manager.
Carry out routine secretarial tasks: reception, telephone, diary management, mail, databases, archiving, supplies, and general administrative support.
Participate in the logistical organisation of meetings, conferences, and internal events (preparation of rooms, equipment setup, participant reception, and logistical follow-up).

Profile sought:

You notably have:
A commercial employee CFC, a Bachelor’s degree, or equivalent training.
Proven experience in an administrative role that necessarily includes accounting entry.
Experience in project management and a good understanding of change management principles (Champion, Sponsor, stakeholders, operational relay...).
A strong interest in digitalisation, tool evolution, and process optimisation.
An excellent command of French as well as excellent knowledge of English.
Good knowledge of German (spoken and written) is an asset.
Very good command of MS Office tools.
Experience and ease with ERP, CRM solutions, or content management tools (CMS such as WordPress) is a real advantage. Knowledge of coding or website development is an additional asset.
Excellent writing skills and a strong ability to summarise.
