Administrative Assistant
Location: Geneva
Temporary Contract, ASAP, Short term contract
As an Administrative Assistant, you will play a key role in ensuring smooth administrative processes across the teams. Your expertise will help drive efficiency in contract management, financial tracking, travel coordination, and meeting organization—all within a collaborative and mission-driven setting.
Key Responsibilities
- Manage contracts and documentation (Conga, DocuSign)
- Support IIS study documentation
- Prepare agendas and minutes for departmental meetings
- Coordinate team leader meetings
- Support budget tracking and invoice processing (Sage X3)
- Consolidate financial data for budget reporting
- Organize business trips, internal/external meetings, and conferences
- Ensure compliance with safety and environmental regulations
Your Profile
- Fluent in French and English
- Proficient in MS Office and electronic file management
- Organized, autonomous, and customer-oriented
- Experience in budget management; pharma/life science background is a plus
