Administrative Assistant – Vehicle Management
Our company Bantam Wankmüller specialises in leisure vehicles such as motorhomes, converted vans and caravans. Market leader in Switzerland for many years, we are expanding across the country with 3 branches: Etagnières (Vaud), Hindelbank (Bern), Urdorf (Zurich).
Our activity is broad and we offer many services such as new vehicle sales, used vehicle sales, vehicle rental, vehicle maintenance in our workshop and the sale of camping accessories in our shop. Our profession is technical, which makes it exciting. Moreover, we act for the greatest pleasure of our customers, namely their holidays!
Your responsibilities
- Ensure the administrative management and follow-up of vehicle orders (stock and customers), from order to delivery: entry in the ERP, control of order confirmations, invoices, customs documents and certificates.
- Ensure the follow-up of sales contracts, customer order confirmations as well as all documents necessary for invoicing.
- Manage rental vehicle orders and stock.
- Manage trade-ins as well as the follow-up of used vehicle stock.
- Prepare administrative files related to exhibitions, trade shows and fairs.
- Prepare statistics, dashboards, inventories and reports intended for Management.
- Ensure daily communication in French and German with suppliers, sellers and other partners.
- Manage documentation, archiving, translations and various administrative tasks related to the department's activities.
- Work closely with sales teams, the workshop, accounting and external partners to ensure smooth processing of files.
Your profile
- Commercial or administrative training (CFC commercial employee or equivalent).
- Experience in administrative management, ideally in the automotive sector or equivalent experience in a similar position.
- Good command of IT tools: Office suite, ERP, management software and supplier portals.
- Excellent organisation, rigour, attention to detail and sense of priorities.
- Autonomy, initiative and ability to manage several files in parallel.
- Team spirit and smooth communication, both internally and externally.
- Knowledge of the automotive or leisure vehicle sector is an asset.
- Fluency in German is essential: bilingual French–German or C1 level, written and spoken.
