The national research centre "NCCR Separation" is a major Swiss national project primarily funded by the Swiss National Science Foundation. It brings together many high-level researchers from across the country and aims to develop new techniques in separation sciences and accelerate technology transfer to achieve Switzerland's sustainable development goals and speed up progress towards global climate neutrality.
EPFL, which leads this project, is seeking an administrative and financial manager to handle financial operations. The main mission of this position is to centralise and consolidate financial information related to the project within EPFL as well as with external partners.
Financial management
- Ensure the financial management and accounting of the NCCR Separations project.
- Participate in the preparation, monitoring, and steering of the budget in close collaboration with the NCCR management and the Program Managers.
- Monitor the budgets of the various partner institutions and prepare internal and external financial reports.
- Manage the collection, verification, reimbursement, and accounting of project expenses in collaboration with all partners.
- Collect, check, and maintain the financial data necessary for interim and final reports to the Swiss National Science Foundation (SNSF) via the reporting portal.
- Prepare, coordinate, and follow up on SNSF financial audits.
- Collaborate with EPFL central services and consortium partners on all financial and administrative matters.
Administration and coordination
- Provide administrative support to the NCCR, including organising meetings, preparing agendas and minutes, managing mailing lists, and tracking documentation.
- Provide administrative support to the management team (Program Manager, Communication Officer, KTT Officer, Data Manager, Scientific Officer) as needed.
- Participate in recruitment procedures and ensure administrative follow-up of human resources (job postings, onboarding, offboarding, accreditations, absence tracking) in coordination with the relevant HR services.
- Coordinate the logistical organisation of NCCR events (workshops, training sessions, retreats, meetings, general assemblies, and scientific events).
- Support the organisation of travel, visits, scientific stays, exchange programmes, scholarships, and secondments of NCCR members.
- Contribute to the transversal tasks of the ECO unit and participate, as needed, in transversal EPFL projects.
- Training in accounting, finance, management, or commercial education complemented by several years of experience in a similar role.
- Proven experience in financial and administrative management of scientific projects or projects of comparable scale. Experience in fiduciary or audit is an asset.
- Excellent command of French and English, both spoken and written.
- Very good proficiency in office tools (Microsoft Office), with excellent Excel skills.
- Excellent organisational skills and ability to manage multiple priorities simultaneously in a dynamic, multi-partner environment.
- High rigor, organisational sense, and respect for deadlines, especially in budgetary and administrative follow-up.
- Initiative, autonomy, and service orientation.
- Excellent interpersonal skills and ability to collaborate with diverse stakeholders (management, researchers, professors, institutional partners, auditors, and administrative services).
- Dynamic, reliable, discreet personality demonstrating a high level of integrity.
Assets
- Experience with EPFL administrative and financial tools (GrantsDB, mySNF or similar tools).
- Experience in administrative management of a research consortium or a project funded by the SNSF.
