At the Welcome Service and the Office of the Population, the Assistant to the officer in the office is the entry point of the Municipality and supports the approximately inhabitants of the city of Vevey in their procedures. It mainly ensures the registration of arrivals, departures, and address changes, the monitoring of civil data, the maintenance of the electoral roll, the control of elections and referendums, as well as various tasks including the sale of daily tickets. As an assistant, you assist the Officer in the management of the Office, ensure the continuity of services, and contribute to processes, in compliance with current regulations and confidentiality requirements. In this capacity, you are responsible for the following main tasks: Assist the Officer in the management and direction of the Office and ensure its replacements in case of absence; Support the Officer in planning and organizing the activities of the Office and provide support as needed; Keep minutes of team meetings and ensure follow-up; Contribute to office procedures and processes, as well as specific projects; Ensure the functioning of the Office, process requests and provide information at the counter, by phone and in writing, in compliance with legal bases, internal directives, and deadlines; Participate in the processing and monitoring of sensitive files, ensuring confidentiality and data protection; Take part in the preparation of the annual management report and budget; Collaborate in the management and financial aspects of the Office; Participate in activities and exchanges related to the overseeing of the inhabitants. This position requires: A commercial employee certificate (CFC) or an equivalent qualification, supplemented by a recognized specialization in the office of population/control of inhabitants, including the management or direction of a team; A sense of responsibility, efficiency and the ability to manage multiple files simultaneously; Analytical and synthesis skills, with a focus on solutions; Very good public service skills and discretion; Good stress resistance and management of peak activity; Excellent writing skills and impeccable spelling; Mastery of standard tools; knowledge of professional tools (e.g., ProConcept, InnosolvCity, RCPers, SYMIC, and GestStar) is desired; Start date: immediately or in the near future; Additional information can be obtained from Mr. X at or from Mrs. X, Head of Service, at .
